In workshops, on building sites and in field service it’s common for every job to be logged on a paper sheet: who did it, for which customer or work order, how many hours, what materials were used, and a note if anything went differently than planned. By the end of the day or the shift, those sheets reach the office — sometimes handed over in person, sometimes photographed and sent over WhatsApp — and someone has to enter them into the management system, one after another.
Entering a job sheet isn’t just typing a number. Someone has to find the matching customer or work order in the system, split the hours if the sheet covers more than one task, and decide what to do when something isn’t clear: handwriting that’s hard to read, hours that don’t quite match the shift, a material with no code because it’s new. All of that happens after the job is already done, with the paper sheet as the only source, and nobody nearby to ask if something doesn’t make sense.
Where the time goes with paper job sheets
The first cost is deciphering: handwriting filled in quickly, on the shop floor or on site, isn’t always clear the first time, and misreading a figure means a wrong entry that someone will have to fix later. The second is finding the matching customer or work order in the system, especially when the sheet carries no clear reference number. The third is splitting: when a sheet covers several tasks or several materials, someone has to decide how to divide the time between them, and that isn’t always obvious from the paper alone. The fourth is the pending question: incomplete sheets set aside until whoever filled them in can be asked, which delays entering that job and means going back to the pile more than once.
Because it happens in a batch, at the end of the day, the tiredness of the shift itself adds to the tiredness of entering the sheets: it’s the worst moment to need precision, and it’s exactly when precision is needed.

The first thing to automate is capture: replacing paper with a simple digital form, fillable from the shop floor or the site on a phone, removes both the deciphering step and typing the same data twice. Where paper can’t be avoided entirely, document reading can recognise the usual fields on a sheet and leave only a check, not a full entry.
What stays in someone’s hands is splitting time between tasks when a sheet covers several, and deciding what to do with what doesn’t add up: hours that don’t match the shift, a material that isn’t in the catalogue. That takes knowing the job, not just transcribing it, and no automation changes that part.

What’s usually missing here is how many sheets arrive incomplete and need a question answered before they can be entered, because that figure isn’t written down anywhere: everyone knows “it happens sometimes”, but not how many times a week.
